Terms of Service
These terms govern access to and use of the ScholaQore platform, operated by YiwSAMA Technologies, Accra, Ghana. By creating a school workspace or using the platform you agree to them.
Last updated 27 August 2026
1. The service
ScholaQore provides software for school administration, academics, attendance, fee billing, payment collection, reporting and parent communication. Features available to a school depend on the subscription plan selected in the workspace.
2. Accounts and eligibility
A workspace must be created by a person authorised to act for the school. You are responsible for the accuracy of the information provided, for keeping credentials secure, and for the actions of the staff accounts you invite. We do not permit anonymous sign-ups and may suspend access where an account appears to be misused.
3. Subscriptions, fees and taxes
Plans, limits and prices are published on the pricing page and shown in the workspace before purchase. Subscription fees are billed in advance for the selected billing period and are payable in Ghana cedis unless otherwise agreed in writing.
Prices may change on renewal with prior notice. Applicable taxes and levies are added where required by law. Transaction charges applied by payment providers are disclosed at checkout.
4. School data and roles
The school is the data controller of student, guardian and staff records it enters. We act as a processor and use that data only to provide and support the service, as set out in the Privacy Policy. The school is responsible for having a lawful basis to enter personal data about minors and for the accuracy of the records it publishes to parents.
5. Acceptable use
You may not attempt to access another tenant's data, probe or bypass security controls, upload malicious code, resell access without a written agreement, or use the platform to send unlawful, harassing or deceptive messages. Automated access must stay within documented interfaces and published rate limits.
6. Payments collected from parents
Fee payments are processed by licensed payment providers. Funds settle to the school's own account with the provider under the provider's terms; ScholaQore records the transaction and reconciles it against invoices but does not hold school funds. Disputes over a specific parent payment are resolved between the school, the payer and the payment provider.
7. Availability and support
We aim for continuous availability and carry out maintenance with notice where practicable. Support channels and response expectations are described on the service delivery page. We do not guarantee uninterrupted or error-free operation.
8. Intellectual property
The platform, its software and its branding remain the property of YiwSAMA Technologies. School data remains the property of the school. You receive a non-exclusive, non-transferable right to use the platform for the term of your subscription.
9. Suspension and termination
Either party may end a subscription as described in the Refund and Cancellation Policy. We may suspend access immediately for non-payment, a security risk, or a breach of these terms. On termination the school may export its data for a reasonable period before deletion.
10. Liability
To the extent permitted by law, neither party is liable for indirect or consequential loss, and our aggregate liability is limited to the subscription fees paid for the twelve months preceding the claim. Nothing in these terms excludes liability that cannot lawfully be excluded.
11. Governing law and changes
These terms are governed by the laws of Ghana and disputes are subject to the jurisdiction of the courts of Ghana. We may update these terms and will publish the revised version here with a new effective date; material changes are notified to workspace owners. Questions: hello@scholaqore.com.
